Shared credentials become a control problem
One owner login feels convenient until somebody leaves, a report is exposed or a configuration is changed without a clear author. Changing the password disrupts everybody; leaving it unchanged retains access that should have ended.
Individual membership can be removed per person. Permissions can distinguish selling, product work, stock control and reporting rather than offering only all-or-nothing access.
Use phone and web deliberately
Mobile suits barcode scanning, stockroom checks and activity in a van or at a market. Web suits keyboards, larger tables and report review. Test a procedure on the intended device before making it the team’s standard.
Apply least privilege
List what the staff member actually does. Grant the permissions those tasks require. Leave reports, cost and organisation settings closed unless the role genuinely needs them. Sign in as the test member to verify the resulting experience rather than trusting permission names alone.
Review access when responsibilities change and remove membership when employment or collaboration ends.
Teach synchronisation states
A locally pending operation is not yet visible everywhere. Staff need to recognise pending and conflict indicators so they do not repeat the same transaction on another device or assume the server has confirmed it.
